This page explains how onemynd handles data. It describes the current product; it does not promise that cloud providers have the same practices as local models.
onemynd operates onemynd. This policy covers the onemynd website, account service, and desktop app. It does not cover third-party services you access separately.
Meeting history, transcripts, typed questions, suggested answers, and uploaded background files are stored on your device. Local Whisper and Gemma process their inputs on your device after their models are downloaded. A custom model you run through Ollama, LM Studio or llama.cpp stays on the machine that runs it; a Hugging Face hosted endpoint sends your question and chosen context to Hugging Face and the provider it selects, billed to your Hugging Face account. Choosing a local model does not automatically upload your audio to a cloud model.
When you choose cloud transcription, audio from the inputs you select is sent for recognition, along with recognition hints from your current calendar meeting, such as participant names and terms from its title and notes. Cloud answers send the question and the context you choose, which can include conversation text, background files, or a screenshot when screen context is enabled. The selected provider can be OpenAI, Anthropic, Google, or NVIDIA. Requests using onemynd credits pass through onemynd’s cloud services before reaching the provider. The provider’s terms and data practices apply to its processing.
Supabase stores account identity, subscription access, license activations, and usage records. Stripe handles payments and payment methods; onemynd does not store full card numbers. Resend delivers transactional emails, including verification codes and license confirmations. Our website and API hosting providers process network requests, IP addresses, and operational logs needed to deliver and secure the service.
Cloud usage records include the account, model, time, and credits used, not conversation content. Administrators can review account access, payment status, device names, and support-related audit records. Provider keys and full license keys are not shown in the administrator account list.
If you enable BYOK for cloud answers, your provider key is encrypted using your operating system’s secure storage (the macOS keychain or Windows data protection) on your computer. Requests go directly to that provider and are billed by it. Removing the key from onemynd does not revoke it at your provider; revoke it there if it was exposed.
The website uses essential authentication cookies to keep you signed in. This release does not include advertising cookies or third-party advertising trackers. Request limits use temporary counters derived from a protected form of your network address. Hosting providers may separately retain security and access logs. Blocking authentication cookies can prevent account features from working.
When you begin account deletion on the website, your browser saves a deletion reference and a private recovery token so you can retry or check the result after sign-in is removed. These remain in that browser until you clear the deletion receipt or the browser’s site data.
You control microphone, system audio, screen, and calendar permissions in the app and your operating system. Calendar access can add meeting context and attendees. Tell other participants when needed and obtain the permissions or consent required for your meeting and location.
If you connect Google Calendar in the desktop app, onemynd asks Google for read-only access to your calendar events (calendar.events.readonly) and for your email address. It reads events on your primary calendar from four hours ago to thirty minutes ahead: each event’s title, start and end time, status, location, description, video meeting link, and its attendees’ names, email addresses and responses. Your email address is used only to show which Google account is connected. onemynd never changes your calendar.
onemynd uses this data only for features you see in the app: showing the meeting you are in or about to join, the join reminder and link, naming who is speaking, and giving transcripts, notes and answers the meeting’s context.
Google Calendar data and your Google sign-in stay on your computer. The sign-in tokens are encrypted with your operating system’s secure storage. Events are held in memory while the app runs. If you capture a session during a meeting, that meeting’s title, attendee names, times, location, notes and link are saved with the session on your computer. onemynd’s servers do not store Google Calendar data or your Google sign-in.
Calendar data leaves your computer only for features you choose. With cloud transcription, attendee names and terms from the meeting’s title and notes are sent as recognition hints, through onemynd’s voice service, to the transcription provider you selected (OpenAI, NVIDIA or Google). With a cloud answer model, the meeting’s title, attendee names, times, location and notes can be included with your question, through onemynd’s servers when you use onemynd credits, or directly to the provider when you use your own key. Local models keep it on your computer. onemynd does not sell Google user data, use it for advertising, or use it to develop, improve or train AI or machine learning models, and people at onemynd do not read it unless you share it with support or the law requires it.
Disconnect Google Calendar in the app’s Settings, under Calendar, to revoke onemynd’s access at Google and delete the stored sign-in from your computer. You can also revoke it yourself at myaccount.google.com/permissions.
onemynd’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We use account and usage information to provide access, fulfill purchases, prevent abuse, respond to support requests, and maintain the service. We do not sell your conversation content or use it for advertising. Cloud requests are processed under each provider’s applicable terms; retention and training policies can differ by provider and account configuration. Do not send content to a cloud provider unless you are permitted to share it.
You can delete local sessions in the desktop app. You can also choose Delete account in your account settings on the website or in the desktop app and confirm the change. Deletion disables the account and its license access at once. For 30 days you can restore it by signing in on the website; after that your sign-in identity and personal details are erased. A disabled account record and billing, purchase, usage, deletion, and security audit records are retained for accounting, disputes, and legal obligations. Account deletion does not automatically erase those retained records. Contact support with questions or requests concerning them.
Before deleting your account, cancel subscription renewal through Manage billing and wait until the subscription has ended. Resolve open or processing checkouts, scheduled subscriptions, and outstanding invoices first. Account deletion does not cancel billing or issue a refund. If deletion is interrupted, access may already be disabled while removal of your sign-in is still pending. Retry the original deletion request or contact support; a pending request is not a confirmation that deletion has finished.
Deletion through the desktop app also removes saved sessions, transcripts, notes, custom modes, and reference files on that computer after remote deletion is confirmed. Website account deletion does not erase local files on your devices. Neither method remotely erases files on other devices, exported copies, or data a cloud provider already received. Devices already offline may retain cached access until their next online check or its expiry. Uninstalling the app may leave its application data on your computer.
You can choose local processing, stop capture, remove background files, revoke operating-system permissions, and delete local sessions. Depending on where you live, you may also have rights to access, correct, export, delete, restrict, or object to processing of your personal information, and to complain to your privacy regulator. Contact us to make a request. We may need to verify your identity before changing or disclosing account records.
Our service providers may process information in countries other than yours, including the United States. The protections available may differ from those in your location. We will update this page when our practices change and provide additional notice of material changes where required. onemynd is intended for adults and is not directed to children.
support@onemynd.app is the contact for privacy requests. Do not send private recordings unless a specific support request requires them and you have permission to share them.
